Access and Provisioning
ChatGPT seats are provisioned through Corporate IT/DISD and Okta rather than directly by AI Ops. Approval is required before the license is assigned. Access may be closed under a 30-day inactivity policy, but there is no complete authoritative offboarding and license-reclamation runbook. Workspace-owner privileges are restricted to designated owners; internal records identify [[Nitin Chopra]], [[Shane Stephens]], and Okta Integrations as owners.
Credits and Usage Management
ChatGPT uses pooled credits. AI Ops has communicated model-selection guidance: reserve Pro for complex use cases, lower-cost models for simpler work, coding-specific models for coding, and limit image generation/Deep Research to business purposes. Fast mode in Codex was disabled after contributing to overcharge. When the workspace exhausted usage credits, AI Ops introduced weekly limits, an 80% warning threshold, and a full block at the allocation limit, with weekly reset. AI Ops monitors utilization for reclamation opportunities.
System Setup
ChatGPT MCP setup identifies the target system, endpoint, audience, use case, credentials, and service-account needs; activates the connection in ChatGPT; restricts access; tests end to end; and documents ownership. ChatGPT MCP access typically cannot be scoped by user group. Sensitive-data or enterprise-credential integrations require Security, Legal/Compliance, or Corporate IT involvement. Secrets are not placed in tickets, prompts, repositories, or shared documentation.
Updates and Releases
Open gap: no ChatGPT-specific internal release calendar, model-deprecation process, upgrade approval, change window, or rollback procedure was found. Connector migrations should replace outdated versions, retest access and authorization, and confirm successful use. For AI Ops-built systems surrounding ChatGPT, the AI Hub release process uses GitLab review and CI/CD, automatic Dev deployment, and manual production promotion from a version tag.
